Inventory planning

Separate available and unverified candidates

Keep an item's visual suitability separate from confirmation of its current availability.

Define the specific decision

Keep an item's visual suitability separate from confirmation of its current availability.

For candidates relevant to “Separate available and unverified candidates”, use the skin finder. Keep this task separate from your broader inventory plan.

Read the worked example

Two candidates suit a set equally well, but one has an availability observation while the other remains unverified; their status labels stay different.

Statuses are useful only when their basis is clear. Confirmed in an observation does not mean guaranteed at the time of a later action. Record where and when the information appeared and exactly what it confirmed. Saving an unverified candidate as a favourite must not change its label to available: saving concerns your list, not availability. It can remain the visual favourite while the final decision waits. If both candidates are unverified, selection produces a shortlist rather than a ready action. The disappearance of a card does not prove the opposite status either; without a fresh observation, use a neutral label and the last known review date.

Use this task checklist

  • Create a separate availability column.
  • Record the date and basis of each status.
  • Never improve a status merely because the picture looks appealing.

Recognise the failure condition

Treating the existence of a card as proof that the item can be obtained now.

Appearance and availability are assessed independently without false confirmation.

Apply the additional check

Availability, suitability and decision readiness work as three independent columns. A candidate may suit the board, have unverified availability and remain deferred. Another may have an availability observation but not suit your set. Neither case requires changing another status merely to produce a uniformly green row. After a manual review, update only the field supported by new information. If the check is inconclusive, retain unverified. No answer is neither confirmation of availability nor proof of absence.
